Smart Tags Without Moving Files: Virtual Collections on Windows

Group files across folders and drives with virtual tags: no copies, no moves, searchable in Universal Search and tied to face recognition.

Physical organization forces a false choice: one file, one folder. Real collections span drives: tax documents, client assets, vacation photos, "things to dedupe later." Moving files to match mental categories breaks paths, shortcuts, and backup scripts.

Smart Tags are virtual collections: references to file paths, not copies on disk.

What Smart Tagging does

Tags do not rename, move, or duplicate files. Missing files stay visible so you can prune stale memberships after a drive letter change or NAS restructure.

Search tagged files

Universal Search indexes smart-tag sources. Query examples:

  • tag:"Tax 2024"
  • source:tag
  • Combine with content: tag:"Contracts" AND invoice

Index only roots that contain tagged files, or refresh after big imports. See Universal Search for indexing setup.

Bridge from Face Recognition

When you name a person in Face Recognition, DupeZappa can auto-sync a Smart Tag. That gives you:

  • One tag per person across photo folders.
  • Search by person name without moving images into People\Alice\.

Smart Tags fit multi-label reality: one invoice PDF can be Tax 2024 and Client Acme without two copies.

Workflow example

  1. Index D:\Documents and \\nas\archive.
  2. Create tag Legal Hold; add files from search results (contract AND signed).
  3. Create tag To Dedupe; add suspected duplicate folders before a scanner pass.
  4. After cleanup, remove stale entries from To Dedupe; missing paths show in tag detail.

Privacy note

Tags store paths in your local app config, not a cloud DAM. Pair with Privacy Mode when demoing or screenshotting.
